In an effort to optimize my workday, allowing me to focus more on project-related tasks I must deliver to my clients, I strive to utilize AI technology wherever possible. One area where I can undoubtedly achieve time savings while simultaneously delivering a more polished result is in the daily task of responding to emails. For this purpose, I have integrated OpenAI’s GPT technology directly into my Microsoft Outlook. This integration is realized through a proof of concept written as a Microsoft Outlook Add-in, providing three key functions designed to enhance email management and composition.
Business Email Generation
This feature of the proof of concept supports both Danish and English languages, enabling the technology to craft professional emails based on a brief description of the desired communication. I simply input the main points I wish to convey, and the AI generates a coherent, professionally toned email ready for review and sending. This streamlines the email drafting process, saving valuable time and ensuring consistency in communication quality.
Email Content Summarization
This functionality condenses the content of received emails into concise bullet points, focusing on the key messages. It is particularly useful for quickly grasping the essence of lengthy emails without missing critical information. In this PoC the summarization is configured to highlight the most important aspects in Danish for a faster and more efficient response.
Proofreading Before Sending
Before an email is sent, this feature scrutinizes the content for grammatical errors, highlighting them in red. Users can then choose to either approve all suggested corrections by clicking the “Approve” button, automatically applying the improvements, or opt to dismiss the changes by selecting the “Revert” button, keeping the original content intact. This proofreading function supports all languages, ensuring that your emails are not only grammatically correct but also maintain the intended tone and clarity across different languages.
This integration of OpenAI’s GPT into Microsoft Outlook as an Add-in offers a powerful tool for enhancing email productivity and efficiency. By leveraging AI for business email generation, content summarization, and proofreading, users can focus more on their core responsibilities, knowing that their email communication is both professional and efficient.
